From Booking to Follow-Up: A Simple Consultant Workflow
Organize consultation requests, appointment preparation, notes, and next steps.
Give prospects one clear scheduling path
A consultation page should tell visitors what they are booking, how long the call lasts and how to prepare. Keep the number of service options manageable. Customers should not have to email back and forth to find a time.
Prepare with light intake
Ask for the company, key goal and one or two questions they want to discuss. This helps you prepare without requiring a lengthy application. Make it clear whether the meeting is introductory or part of paid work.
Capture next steps immediately
After each consultation, record the date, participant, decisions and follow-up tasks in your internal notes. Link notes to the customer and, when supported, to the appointment. Preserve who wrote the note so others can understand the history.
Separate scheduling from project delivery
Booking software manages time and customer interactions; project tools track tasks, dependencies and deliverables. Pick the system that matches the work. Avoid duplicating the same status information across disconnected spreadsheets.
Close the loop with the customer
Send a concise recap with agreed next steps, owners and timing. For longer engagements, set the next meeting before the current one becomes a forgotten calendar entry. A predictable follow-up process is often more valuable than a complicated automation.
